China Train Boarding Passport: Gates, Timing and Name Checks

by Palash
October 15, 2026

For China’s high-speed trains, understanding the China train boarding passport process starts with knowing how passport verification and train boarding work. The reservation is made using your passport number; hence, the actual passport is your ticket, which gets scanned both at the station entrance gate and the boarding gate on the platform. Foreign passports use the manual queue, assisted by staff, next to the automated gates. Therefore, you need to come early enough to get into the long queue and have some buffer time for boarding. Your name and passport number should tally with the booking details. Otherwise, a mismatch can’t be corrected once issued. You should cancel and rebook before you.
Last verified on October 12, 2026, on the 12306 China Railway website. Boarding time depends on the station, so check it on the display screens at the station itself.
Whereas one would be accustomed to US rail systems, which require using an issued QR code on a smartphone as a ticket, this process is replaced by the use of the passport in China. This guide will introduce you to the station procedure step by step, followed by instructions in case of failure.
Step-by-Step Guide: What Happens at the Train Station

There are usually six checkpoints from the entrance to the boarding point, and your passport is checked at three of those points: the entrance, the boarding gate and the exit checkpoint on the other side.
Checkpoint | What to keep ready? | What should be done? | What can go wrong? |
1. Station entry (first passport check) | All the passports used for the booking | Walk to the passport counter for assistance and present your passport there | Incorrect station, or standing in line where the machine cannot read it |
2. Security screening | Bags ready for scanning | Place your bags on the conveyor belt and follow the staff's instructions | Restricted items such as sharp objects or flammable materials |
3. Waiting hall | Train number from your booking details | Look for your train on the departure screen and head to its waiting area | Missing the moment boarding opens |
4. Platform boarding gate (second passport check) | Passports and booking details on your phone | Use the manual lane at your gate when you see boarding has started | Arriving when boarding is completed and closed |
5. Carriage and seat | Carriage and seat number | Go to your carriage number on the platform and look for your seat | Right train, wrong carriage |
6. Arrival station exit (third passport check) | Passports | Look for exit signs and use the manual lane | Passport buried in a bag |
The sequence may vary slightly, so follow the signs at the station.
Check 1: The Station Entry Gate
The first check involves the verification of your identity. The passenger presents their passport, and it is authenticated before going to the waiting area.
According to trip.com's instructions, passport holders are advised to use the manual ID verification lane (人工验证) and show their passport to be scanned. Some large stations have multiple entrance doors. You should approach the door which serves your departure hall.
Check 2: The Platform Boarding Gate
The second checkpoint is the ticket check at the station exit gate for your particular train. In the waiting hall, screens display the status of whether you can board or have missed the boarding time.
Foreign passport holders pass through the manual channel at this gate, show their passport to the officials and proceed to the platform.
Do you need to print or collect a ticket?
Not really. The website issues an e-ticket linked to your passport and states that your passport at the manual desk is all that is needed to board the train. Do not expect any paper reimbursement voucher from the counter. Starting from October 1, 2025, the railway provides electronic invoices only.
At the window or machine, the passenger might receive a QR-coded application slip (扫码开票单) to start the application process. However, it is not an invoice. Slips printed at the station contain only travel information, such as train, seat, and gate, and cannot be used for reimbursement.
Keep a screenshot of the ticket reservation with the train number, compartment, and seat number.

Booked on 12306 instead?
According to the official website, you can use the Ride Code that is created through the 12306 application. Alternatively, the original passport can be presented at the manual check-in counter.
Holding a Foreign Permanent Resident ID Card?
According to Trip.com, self-service gates can be utilized by holders. A tourist with a passport needs to use the manual passage.
Signs worth recognizing
Chinese | Pinyin | Meaning |
人工通道 | réngōng tōngdào | Manual channel |
检票口 | jiǎnpiàokǒu | Ticket gate |
正在检票 | zhèngzài jiǎnpiào | Boarding is open |
停止检票 | tíngzhǐ jiǎnpiào | Boarding has closed |
出站口 | chūzhànkǒu | Station exit |
便捷换乘 | biànjié huànchéng | Transfer route |
When the gate will not read your passport

Head over to the manual channel near the automatic gate and pass your passport over to the staff. It’s a standard procedure to be followed by those holding a passport. Chinese ID cards have an embedded chip, which is read by the automated gate, but foreign passports mostly do not work at those gates.
It is stated in the Shanghai city government guide that the passport can be used in automatic terminals to swipe it. Therefore, some gates accept them. Consider this an added advantage, but plan for the staff lane only. You must not queue up at the ticket windows. The ticket counter handles sales, exchanges, and refunds of tickets.
Gate-failure recovery box
Situation | What can be done? | Show | How to prevent it next time? |
Automated gate does not check the passport | Leave the queue and head for the manual line | Passport and booking on your phone | Go to the manual channel initially |
The passport is tattered, or the chip is broken | The manual process must be used, whereby the staff validate the information against the reservation | Passport and booking confirmation | Fix your passport before making your reservation |
Reservation has been made with an old passport number | Enquire at the station's ticket counter about how to cancel and rebook using your present passport | New passport and booking details | Renew the reservation on receipt of the new passport |
Name differs in spacing or punctuation | Present the passport and confirmation; do not try to argue the spelling at the gate | Passport and booking confirmation | Enter your name as per the booking form (as mentioned in the name section below) |
Children traveling with you | Go to the manual channel together | Your passport and the child's passport | When booking your tickets, add a child’s ticket or make a free child declaration |
You arrive after the gate has closed | Head to the ticket counter with your passport and inquire about a same-day change | Passport and booking details | Use the arrival table below |
According to the regulations, a missed train can be changed to any other train on the same day without paying any extra fee if the ticket was not previously changed and if the destination remains the same. The missed ticket cannot be refunded.
A change for a later date after departure attracts a 40% railway charge. Should changes be made outside the 08:00 to 22:00 China time change window on the Trip.com website, station assistance would be required.
Traveling with a child
According to Trip.com’s family guide, children under six years old are allowed to ride for free and without a seat. However, there should not be more than one child per adult. A free child must be declared using his/her valid ID, which he/she must carry that day. Consider the child’s passport a must.
How early do you need to arrive?

Plan for 45 to 60 minutes before departure in a regular station, while you will need 60 to 90 minutes in a major station. No matter how much time you have, it is not the actual departure time that counts, but the boarding cut-off time is something you should keep a tab on.
The official recommendation is more modest than what we've mentioned.
The boarding cut-off
The boarding gate usually opens 30 minutes prior to departure. Checking of tickets is stopped around 3 to 5 minutes before train departure.
If the train departs at 10:00, then the boarding gate will be closed around 09:55. The time displayed on the screen in the station is the final time.
Arrival-time table
Station type | Planning arrival before departure | Why |
Small or regional station | 30 to 45 minutes | Short walks and smaller queues |
Large city station | 45 to 60 minutes | Entrance lane, security check and longer walking distance to the waiting hall |
Megahubs having more than one terminal or hall | 60 to 90 minutes | Trip.com lists Beijing West and Shanghai Hongqiao railway stations as crowded stations requiring additional waiting time |
Peak holidays such as Golden Week or Spring Festival | 90 to 120 minutes | Trip.com’s Shanghai Railway Station guide recommends the following during peak hours |
These are ranges based on guidelines, not timed ranges. Cross-reference your departure station's row with your ticket, since the station name at which you booked your journey determines all the other information. For instance, three main stations in Beijing are very far away from each other. This is listed by the Travel China site as a frequent mistake that foreign travelers keep committing.
Families and older travelers
Add buffer above the table. The time taken to slowly walk through a big hall is a few minutes that the cut-off won't give back.
The family guide on Trip.com also points out the Special Passenger Service in the 12306 app that helps with boarding and seating.
Early departures
When the train departs in the early hours of the day, the hotel close to the departure point helps eliminate the city-crossing time. Before booking, make sure to check the hotel’s distance from the train station.
Arriving in the city by plane and traveling on the same day? Think about the buffer as consisting of two parts: the luggage transfer and the station buffer.

Hotel in GuangzhouGetting the name right before you travel

Write your name and passport number exactly as stated in your passport before you proceed to payment. The passenger name and identification details cannot be amended using the ticket modification function. If they are incorrect, you will need to cancel and rebook your ticket.
Name-mismatch prevention checklist
Item | What to check | How to fix |
Passport number | Matches the passport you will carry | Cancel and rebook with the right number |
Spelling | The letters match the two lines of machine-readable characters at the bottom of the photograph page | Cancel and rebook |
Spaces and hyphens | The railway system doesn't have the provision to have spaces and hyphens in the Name field, so they are left out | Re-enter without them when rebooking |
Name order and middle names | List all names in the order presented on the passport | Cancel and rebook |
Replaced or renewed passport | The new passport has a new passport number, so the old ticket cannot match | Cancel and rebook on the new passport |
Booking channel | An e-ticket is issued in your passport by Trip.com. An account with 12306 requires identification verification, which takes 3 to 5 working days as per the Office of Foreign Affairs, Beijing Municipality (last checked on October 14, 2026). | Finish verification before you rely on 12306 |
Issued ticket | Make sure the ticket contains the correct name and number | Cancel quickly if wrong |
Example: A passport name of "Martin Jeffery Thomas James" is entered as "Martin Jeffery Thomas James". It also warns against writing the name in Western order if your passport prints it differently.
If there is a character limit and your full name exceeds it, enter the allowed number of characters starting from the left in the exact order as in your passport. Do not abbreviate your name.
Bookings made from 05:00 to 23:30 China time will be confirmed within half an hour. Overnight bookings will be confirmed before 05:30. Please confirm your booking after that time, not at the time of your travel.
What cancelling and rebooking costs
China Railway uses a tiered refund fee:
When you cancel | Railway refund fee |
8 days or more before departure | None |
48 hours to less than 8 days | 5% |
24 hours to less than 48 hours | 10% |
Less than 24 hours | 20% |
After departure | No refund |
Other booking and service charges remain non-refundable. Online refunds that are made from 23:00 to 08:00 China time may fail to be processed, so an urgent refund request may require a visit to the station.

What to keep with you and what to do at the far end

Keep your passport in hand or in your outer pocket from the point of entry until you exit the arrivals terminal. It is required at the point of entry, at the point of boarding the train, and at the exit point.
Leaving the arrival station
Follow the exit sign (出站口). Most of the time, your ticket is checked when exiting the train station. So join the queue at the manual check-in and present your passport again. Foreigners exit through manual gates using the original document used to purchase the ticket.
Moving on to another train for your next journey? Follow the transfer signs (便捷换乘).
If you leave your passport on the train
Alert the train staff or station staff straight away, before you get off the platform. The official hotline of the China Railway customer service is 12306.
Alert your embassy/consulate too. The official list of valid identification cards for ticket purchasing includes the passport loss report certificate; however, consult the station staff for boarding.
Luggage and storage
According to the official rules, the free luggage allowance for each adult traveler is 20 kg, while that of each child is 10 kg. There is a maximum combined dimension of 160 cm for the combined length, breadth, and height of items. This is applicable for conventional trains.
For high-speed trains (G,D, and C series), each item must not exceed 130 cm for the combined length, breadth, and height of each item, with a 20 kg cap per item.
Common mistakes and failure cases

Mistake | Why it happens? | Recovery |
A paper ticket will be issued | Other rail systems issue one | Go to the checking lane with your passport and booking screenshot |
Arriving after the boarding time is over | Treating departure time as the deadline | Connect with the support staff and ask about a same-day change |
Name mismatch in booking details | Spelling, spacing or order differs from the passport | Check with the support staff. If they deny entry, cancel and rebook. |
Used old passport number while booking the tickets | The passport was replaced after booking | Cancel and rebook using the current passport |
Queuing at a ticket window | Assuming the ticket window checks you in | Contact the station staff and ask for the manual channel at the gates |
Wrong station or terminal | In cities, there are many stations, located far away from each other | Compare the station name on your ticket with the map application |
Right train, wrong carriage | Misreading the carriage number | Ask train staff on board |
Exiting the train without the passport | Packing it away mid-journey | Tell staff at once and call 12306. Connect with your embassy if required. |
Conclusion
When boarding a train with a foreign passport in China, there is one check you must ensure is correct before you head out of town. Look into your reservation and make sure that the passenger name and passport number match your passport details perfectly. The error cannot be changed after issuing the ticket, and it is least costly when done 8 or more days before departure.
FAQs about boarding a China train with a foreign passport
-
Do I need a paper ticket for a China train?
No, because the e-ticket will be issued by Trip.com or 12306 based on your passport. Having a passport at the manual counter is sufficient. You can choose to have a paper ticket as an additional document, which can be used to claim a refund, for instance. -
Where do I scan my passport at a Chinese train station?
You will need to present it upon entering the station entrance to verify your identity, as well as at the platform entrance where you will board your train. Non-Chinese passport holders usually follow the manual line at both locations, and it is checked by the station staff. -
What if the gate does not read my passport?
The next step would be to go to the manual check-in counter near the automated gates and give your passport to the station personnel. It should be noted that most passports issued abroad do not have the chip needed for automated gates. -
Can I board if my name is spelt wrong on the ticket?
It will not happen. No change can be made to the name and identification once issued. Therefore, you have to cancel and make a new booking in your name. It depends on how soon the departure date is. -
Do children need their own passport?
Yes. According to 12306 (the official China railway authority), a valid ID is required to purchase a child’s ticket. Also, it is required to declare a free child under 6 with a valid ID if no separate ticket is booked, and that is usually a passport. -
What if I lost my passport after booking?
Since a new passport will have a new ID number, your ticket will be invalid because it will have the old passport number. A refund can be made based on the refund levels provided in the table above. The list of acceptable IDs for purchasing tickets includes a lost passport certificate. However, you should verify with station staff whether it is valid for boarding or not. -
How do I exit the station at the other end?
Go where the exit signs direct you and present the same passport at the manual gate. Most stations will check your ticket again before you depart. Don’t put the passport back into your bag and keep ot handy to present it to staff whenever required.
